About the Administrative Coordinator Role 

 

Reporting to the CEO, the Administrative Coordinator role will provide vital support and leadership in the areas of executive support and office management.  We are seeking creative, organized, and committed individuals who can identify problems, articulate solutions, and work with our team to meet company goals.  

 

This role is currently a part-time, Monday-Friday 3-4 hours per day position and can function under a 1099 model.  Work hours are flexible. 

 

Specific functions for this role include: 

 

  • Team Support

    • Coordinate and manage internal and external events, calls, and in-person meetings between leaders in the business and other companies.  

    • Coordinate travel for CEO and team members when needed.

    • Manage aspects of communication and access to the CEO between outside parties.

    • Edit and proofread important external correspondence. 

    • Manage special projects. 

  • Office Management

    • Oversee general office operations including access, security, and utilities.  

    • Greet and manage visitors (when applicable)

    • Procure office supplies and equipment.

    • Coordinate and manage on-boarding and off-boarding employees and contractors including basic G-Suite administration.  

    • Manage all aspects of real estate including office location planning, lease negotiation, landlord communication, maintenance services, space renovation, and furniture procurement. 

    • Create presentations and other management-level reports.

    • Open, sort and distribute incoming correspondence.

    • Track and follow our compliance policies and procedures.


 

Requirements to be Considered for the Role

  • At least 3 years of experience and expertise in coordination, office management, and policy compliance management include at least 2 professional references.

  • BA/BS degree.

  • Strong communication skills including writing and group presentation.  

  • Strong working knowledge of document management systems and version management.
